ollecting overdue rent is only one part of delinquency management. A missed payment can set off a chain of collection attempts, lien notices, legal requirements, auctions, and unit preparation. Each step takes time and money, while opening the door to potential mistakes.

Ai Lean, a self-storage technology company, has brought that entire process under one roof with its new Intelligent Recovery Platform, which connects collections, lien compliance, auctions, and unit turnover. Rather than requiring operators to manage several disconnected systems, the platform follows an account from its first missed payment until the unit is ready to generate revenue again.

The company already works with more than 1,500 facilities, with services spanning all 50 states and international markets. Ai Lean integrates with operators’ existing facility management systems, including Tenant, Inc., SiteLink, Cubby, and more, without requiring them to replace their current technology.

Project Bahamas
The expanded platform grew out of a more specific challenge. When an existing Ai Lean customer began expanding into the Bahamas, the operator had a question. “They asked us something that meant more than any feature request ever could: ‘Will you grow with us?’” says Luke Shardlow, CEO. “That’s a different kind of trust, and you don’t take it lightly.”

Ai Lean did more than extend its existing services into another country. Working alongside the operator, the company began “Project Bahamas,” developing and testing a new approach to recovery within the operator’s active self-storage business. The project eventually became the foundation for the new platform. “What came out of that partnership wasn’t an update or a new feature,” says Shardlow. “It became the new Ai Lean, not shaped and tested in our own heads but in a real operator’s business.”

The New Platform
With the new platform, the recovery process begins with Smart Collections, which uses AI and proprietary algorithms to recommend collection actions and portfolio-approved offers for individual delinquent accounts. Site managers can track interactions, record outcomes, and send payment links by text or email, while the system supports communication through voice, text, and email. The goal is to resolve delinquency long before an account reaches the lien stage, while giving operators a more consistent collection process across multiple properties. Smart Collections can also be used independently of the rest of the platform.

When an account does proceed to lien, Ai Lean’s Lien Compliance engine manages the required steps according to applicable laws. A centralized dashboard displays each account’s status, required actions, and supporting documents, along with a complete audit trail. The company says its lien services cover all 50 states, as well as international markets. Ai Lean also carries wrongful-sale liability for lien processes it handles, providing another layer of legal protection.

Auction Block
For accounts that reach auction, operators can manage sales conducted on other auction platforms through Ai Lean or use the company’s own marketplace, BidHaven. BidHaven incorporates AI-assisted unit valuations that give prospective buyers a better understanding of a unit’s potential value. Account information, documentation, and history carry over from the lien process rather than requiring operators to start over at each stage. If a winning bidder fails to complete a purchase, the system can restart the recovery process.

But Ai Lean’s approach doesn’t end when the gavel drops. Operators using BidHaven also gain access to Rent-Ready, a workflow that manages the steps required to return a unit to available inventory, including lock cuts, photographs, inspections, and securing the space. QR-code pickup is designed to simplify the post-sale handoff to auction buyers.

The distinction is an important one. Clearing a tenant’s debt doesn’t necessarily mean an operator has recovered the unit’s earning potential. Every additional day spent clearing and preparing the space represents another day it cannot be rented.

People And Performance
Despite its emphasis on automation and AI, Ai Lean says the platform’s processes are intended to support existing employees rather than replace them. “Our goal is to reduce the manual workload associated with delinquency while allowing operators’ teams to focus on customer relationships and higher-value operational decisions,” says Shardlow.

Ai Lean reports its technology has reduced delinquency by as much as 80 percent and recovered hundreds of staff hours per month. When Storage Star implemented end-to-end automated delinquency management with Ai Lean, for example, bad AR dropped from $1 million to $120,000 in 90 days. Delinquency fell below 2 percent, and the operator reclaimed more than 500 staff hours per month.

For Ai Lean, the new platform isn’t just a success but an evolution. “The team that started by solving the hardest, least glamorous problems in storage, delinquency and lien compliance, has become something bigger—much bigger,” says Shardlow.
